A useful rental advertisement helps people decide whether a home fits their budget, routine and moving plans. Clear facts also give owners a better starting point for viewings. This guide explains how to prepare and publish a listing for a property in Germany, with North Rhine-Westphalia as its setting.
Planning to let a property in Düsseldorf or NRW? Discuss your letting
Start with the questions a prospective tenant needs answered
A rental listing should make a practical decision possible. Can someone afford this home, use its layout comfortably and move in when it becomes available? The number of messages alone does not tell you whether the advertisement is working. If applicants only discover later that heating costs extra or that the flat has no lift, the initial attention has created avoidable work. A clear offer gives both sides a sound basis for the next conversation.
Prepare a property information sheet before writing promotional text. Record the correct location, documented living area, rooms, floor, lift, balcony, heating arrangement, kitchen and intended rental start. Check these details against the property and its documents. An old advertisement is not a reliable master copy: fittings may have changed, measurements may have been corrected and the energy certificate may no longer be current. Record the source of any figure you expect applicants to rely on.
Separate existing features from planned work. A fitted kitchen already belonging to the landlord is different from a kitchen someone intends to install. A parking space shown in photographs may belong to another owner. Resolve questions that materially affect the price or the scope of the letting before advertising. Where timing genuinely remains uncertain, explain that uncertainty instead of making a date look fixed.
This article focuses on creating the advertisement. It does not replace the later selection and contract process. Our guide to finding tenants places those steps in context. The immediate purpose is straightforward: provide enough accurate information for a suitable enquiry and offer a manageable route to a viewing.
Present the monthly payment as a transparent calculation
German rental terminology needs a little explanation when writing for an international audience. Nettokaltmiete means basic rent without operating costs. Betriebskostenvorauszahlungen are advance payments towards operating expenses, subject to settlement. Heating advances may be shown separately from other operating costs. Do not assume that the label Warmmiete tells every reader precisely what is included. Explain the components and identify expenses paid directly to outside providers.
Use this fictional example throughout the guide: basic rent of €780, an advance of €140 for operating costs excluding heating, and a €90 heating advance. The monthly payment to the landlord is therefore €1,010. A genuinely optional parking space adds €40, making €1,050 with parking. Household electricity and internet are separate. These figures illustrate presentation only; they are neither a Düsseldorf market rent assessment nor a prediction of a particular household's bills.
An advance is not a fixed maximum. A flat-rate operating-cost agreement is a different arrangement, and mandatory rules can affect what may be agreed. Section 556 of the German Civil Code distinguishes the arrangements and requires reasonable advances. Avoid making the offer look cheaper through unrealistic estimates. Establish the permissible basic rent separately before publication; calculating the rent explains the wider task. A neatly presented figure is not proof of its legal admissibility.
Show the security deposit separately from monthly expenses. In our example, a cash deposit equal to three basic monthly rents is €2,340. Section 551 BGB generally limits the security to three months' rent excluding separately stated operating costs. A tenant providing a cash deposit is entitled to three equal monthly instalments: the first at the start of the tenancy and the others with the following rent payments. Do not demand the entire deposit as a condition of viewing.
Describe the home people will actually be able to use
Room count does not explain a layout. Two rooms might be separately accessible from a hallway, or one might only be reached through the other. State the difference. Explain sloping ceilings, the kitchen arrangement and any important limitations on usable space. A floor plan supports understanding but does not establish the advertised living area by itself. Do not add a basement storage room to the living area simply because it forms part of the letting.
Use condition descriptions that can be checked. Instead of saying everything is newly renovated, identify the work actually completed. A replaced bathroom does not mean the whole flat has been comprehensively refurbished. If painting is planned before handover, confirm that the work and schedule support the statement. If there is no lift, say so alongside the floor number. Readers should not have to infer a significant access restriction from a photograph of the stairs.
Explain what belongs to the rental offer. A fitted kitchen supplied with the tenancy is different from a kitchen the outgoing tenant hopes to sell. Do not present an unagreed purchase as an included facility. The same distinction applies to wardrobes, appliances and furniture visible in photographs. State whether they will remain. Resolve ambiguous ownership or payment arrangements before inviting people to assess the offer as a complete package.
Our example assumes a confirmed rental start of 1 December 2026. For a real property, check that the date fits the outgoing occupant's departure, necessary work and handover. If only a time window is reliable, state that window and explain the next confirmation step. An owner's wish to let temporarily also needs separate legal assessment: describing a tenancy as short term does not establish a valid fixed-term arrangement under German residential law.
Take the energy details directly from the certificate
Where an energy certificate exists when an advertisement is published in commercial media, section 87 of the Gebäudemodernisierungsgesetz specifies the required information. For a residential building, this covers the certificate type, its final energy demand or consumption figure, the main heating energy sources, the building year stated in the certificate and its energy efficiency class. Copy the correct unit as well, usually kWh/(m²·a). Check the portal's fields against the actual document.
An Energiebedarfsausweis is based on calculated energy demand; an Energieverbrauchsausweis reports energy consumption on the relevant certificate basis. Do not interchange their labels. Nor should a primary energy figure be substituted for the required final energy figure. The heating installation's year is not automatically the building year. These distinctions can be lost when someone transfers numbers from a scanned document into unfamiliar fields, so review each entry rather than relying on a completed-form indicator.
Our fictional property has a consumption certificate showing 112 kWh/(m²·a), natural gas, building year 1994 and class D. These values are an illustration, never a substitute for a real certificate. The certificate helps compare building energy characteristics. It does not promise a particular household heating bill; usage patterns, weather and energy prices also affect the amount paid. Keep this distinction clear when discussing the €90 heating advance.
The reference to an existing certificate does not excuse delaying a required one. Section 80 covers issuance and presentation, generally by the viewing, while section 79 contains basic validity and exception rules. Building-specific exceptions need checking. If documents are missing or inconsistent, seek clarification from a professional entitled to issue energy certificates instead of guessing the category.
Address housing needs with fair and factual language
Describe what the property enables people to do. Separately accessible rooms, a bedroom facing the courtyard and a place for a desk convey useful information. A claim that the flat is only for a particular kind of person often conveys less about the home. Let readers judge whether the layout suits their circumstances. This approach can be persuasive without relying on assumptions about age, nationality, family background or lifestyle.
The civil prohibition of discrimination in section 19 AGG has different scopes and exceptions. It does not support a blanket claim that small private landlords may advertise any exclusion they wish. In particular, the provision concerning no more than 50 dwellings relates to one classification of mass transactions; it does not generally remove the wider protection against ethnic discrimination. Special personal relationships and unusual selection conditions need specific legal advice rather than a copied disclaimer.
Use objective considerations relevant to the property and agreement. Whether the available moving date works is different from judging suitability by an applicant's surname. Financial capacity can be examined proportionately at the appropriate later stage. A prestigious job title or polished application letter is not a guarantee of rent payment. Make the initial enquiry route accessible and avoid requiring a lengthy personal biography as evidence of seriousness.
Positive labels also deserve scrutiny. A lift alone does not establish that a flat is accessible throughout. Describe confirmed details, including steps, thresholds and the route from the street. Similarly, a bedroom overlooking a courtyard is more precise than an unsupported promise of silence. Honest detail allows applicants to evaluate their own priorities during the viewing and gives your description a stronger basis than broad adjectives.
Make photographs and wording tell the same story
Choose a sequence of current photographs that explains the flat: main living space, other rooms, kitchen, bathroom, balcony and relevant access areas. Straight lines and useful lighting help readers understand dimensions. Extreme wide-angle views can create an exaggerated impression. Several attractive images of one corner do not compensate for leaving an important room unexplained. Make the first image representative of the property actually being offered.
Use photographs and plans only where publication rights are clear. For an occupied home, agree the arrangements with the occupants and remove personal documents and identifying details from the frame. Permission to attend a viewing is not equivalent to permission to publish photographs. Editing must not conceal damage or invent a view, balcony or fitting. Check that the images also match any explanation about furniture being removed before handover.
A useful heading states concrete facts: ‘Two rooms with a balcony in Düsseldorf – 62 m², available from December’. Here, two rooms means a living room and one bedroom, excluding the kitchen and bathroom. The following English example describes a fictional flat in Germany; it is not an available property:
The 62 m² flat has a living room and one bedroom and is on the second floor above ground level, without a lift. Both rooms are reached from the hallway. The balcony opens off the living room. The fitted kitchen is included in the letting. Tenancy begins on 1 December 2026. Basic rent excluding running costs: €780; advance payment for running costs excluding heating: €140; heating advance payment: €90; total monthly payment: €1,010. Household electricity and internet are additional. An optional parking space costs €40 per month. Monetary security deposit: €2,340. Consumption-based energy performance certificate: 112 kWh/(m²·a), natural gas, year of construction 1994, efficiency class D. To arrange a viewing, please send your name, a way to contact you and suitable time windows.
Add verified location details and property-specific qualifications to a real advertisement. The example is a structure to understand, not text to paste into an unrelated offer.
Request information in stages instead of collecting everything
The closing invitation shapes the responses you receive. Initially request the necessary contact information and suitable viewing times. Routine payslips, identity copies and comprehensive credit files should not be the entrance ticket to a first viewing. Explain what happens next without promising selection: arrange the viewing, let the interested person assess the home and then establish whether they wish to rent that particular property.
The German data protection authorities' January 2026 guidance separates three stages. Viewing organisation comes first. Once concrete rental interest has been declared, necessary questions about intended occupancy and financial capacity may follow. Appropriate supporting evidence or a necessary targeted credit check comes after choosing the first-ranked applicant. A shortlist of several people is not the same as that final selection stage. Keep your advertisement's requests consistent with this sequence.
Standard questions about pregnancy, plans for children, religion or nationality are inappropriate. The guidance also rejects asking about the duration of employment. Do not require a complete credit agency data-access copy under Article 15 GDPR; it can reveal far more than a tenancy decision needs. Nor should sufficient evidence automatically trigger further duplicate checks. Unnecessary information on a suitable supporting document can be redacted before it is supplied.
Decide who handles enquiries and who can access any later documents. Applicant information is not a permanent contact database. Delete data when no longer necessary, subject to a genuinely applicable reason for further retention. There is no blanket six-month retention entitlement for intermediaries' rejected applications. A clear process reduces unnecessary exposure and makes it easier to track appointments, unanswered questions and the current status of each enquiry.
Review the live offer and improve what causes confusion
Before publishing, read the heading, description, photographs and structured fields as one offer. Does every reference use the same area, floor and date? Does the cost breakdown total €1,010 without parking and €1,050 with it in the example? Is optional parking actually displayed as optional? Portals may shorten headings or distribute details across different panels. Check the finished preview, including its appearance on a small screen.
Ask another person to read the listing without background information. They should be able to explain what is included, what the monthly payment covers and how to request a viewing. Ask for specific misunderstandings rather than a general opinion about whether the wording sounds attractive. If they assume that a photographed kitchen is included when a separate purchase is intended, resolve that ambiguity before further enquiries arrive.
Once the listing is live, repeated questions provide useful feedback. Several enquiries about heating costs or a lift may indicate that an answer is missing or buried. Correct the information across every channel used. Evaluate progress through relevant enquiries that can move to a meaningful viewing. Views and message counts do not guarantee a suitable tenant or a completed agreement, and a slower response does not by itself establish the cause.
To discuss preparing your property for letting, use the landlord enquiry form for RICHTER Immobilien-Transaktionen. Describe the location, size, present condition and intended start date, together with any missing documents. This gives the discussion a concrete starting point. Our guide to letting an apartment covers the wider process; individual legal questions should be addressed by the appropriate legal professional.
